GDPR - New Site Features

Data Protection Officer
There is now the option to add a Data Protection Officer (DPO) contact in your contacts block. While this is not mandatory, we advise completing this section as it will ensure customers can contact the most appropriate person.

What do I need to do?
Please add a contact, if you have one. The details will then automatically show in the New Privacy Policy when it is live.
This is already live for everyone and can be found in the settings area. 
Select 'Data Protection Officer' under the 'Assign As' field

New Privacy Policy Area
There is a new privacy policy area available on the control site. It allows you to do a number of things.

What can I do?
Add and edit the Admin Portal Privacy Policies.
Add and edit the Admin portal Terms and conditions. 

Please note:
If you do make a change to the these, the landlords will see them, unless you turn them off.
If you decide to edit the templates, we can no longer dynamically maintain the content, therefore, you will become responsible for maintaining and ensuring further compliance.
Any time the Privacy Policy or Terms and Conditions are updated, the landlords are asked to accept and acknowledge these changes when they next sign in to their account. 

Our solicitors have checked over the Privacy Policy and Terms and Conditions, and they are satisfied that they comply with GDPR. It is up to you whether you would also like to have your edited/own version checked over by your own solicitor, but this would be your own responsibility to do so.

Landlord Opt-In to Marketing
When a landlord signs up for an account, they are presented with the following questions during the sign up process:










This allows landlords the opportunity to define their preferred method of contact, or to leave both boxes deselected to opt-out all-together. Landlords are also able to change these settings once they have created an account, by accessing the settings area of the site.

When sending a mailshot to landlords, you are now presented with the following:



This allows you to select whether or not the mailshot you are trying to send is for marketing purposes. Any mailshots you send for marketing purposes will not be sent to landlords who have not agreed to be contacted for this reason. Any mailshots sent for other purposes will not be restricted in the same way.
